Job Description

Summary:  The Site Administrator is primarily responsible for the administration of the assigned non-profit properties.

Duties & Responsibilities:

  • Timely and accurate processing pertaining to site documents, filing, data entry/word processing, and other correspondence
  • Complete lease renewals, rent calculations while following the RGI guidelines
  • Complete and execute the signing of all leases
  • Collect arrear payments and complete cheque processing
  • Follow up with vacancy controls - move outs and rental control – legal processes with arrears collection
  • Maintain parking control – audit and process paperwork as needed
  • Maintain relationship with outside agencies (Ontario Works, City of Toronto, etc.) through continuous interaction as needed
  • Professionally and courteously assist prospective/current tenants with inquiries in a timely manner
  • Regularly inspect upcoming availability of units, ensuring move in/outs are ready
  • Assist in maintaining a high level of client satisfaction and public relations which will include all forms of communications with the residents
  • Communicate with the Property Manager, team members and site staff on an ongoing basis
  • Provide administrative support to the site staff and Property Manager as required
  • Other duties as assigned

Qualifications:

  • College/University in Business Administration preferred
  • 2 years previous experience in Property Management, preferably Non Profit
  • Preferred knowledge with Housing Services Act (HSA) and Rent Geared Income (RGI) Guidelines policies/procedures
  • Proficient with computer software, specifically MS Office
  • Knowledge of Yardi preferred
  • Strong communication and interpersonal skills
  • Exceptional customer service skills

  • Patient and understanding with residents
  • Ability to multi-task in a fast-paced environment
